Frequently asked questions.

More than just the monthly payslip. Audit-relevant records include all documents required for accurate payroll processing and social security assessment:

From 2027, all these records must be stored centrally in a digital format, clearly assigned, and instantly accessible. A hybrid system consisting of paper folders and email inboxes will no longer be permitted.

With automated payroll, we offer you a uniform solution for all employees – even those who do not have their own email address (sales staff in the store, production employees, etc.). The salary statement can then be delivered, for example, as an ePost letter. Completely automatic and without any additional effort. Alternatively, a “dummy” user could also be used. To do this, a user is created in the FTAPI system with a non-existent email address. The employee can access the system and view his or her statement digitally and print it if necessary.

FTAPI offers four security levels to ensure secure and GDPR-compliant delivery of payroll statements. Just like classic FTAPI deliveries, payroll statements can be sent with security levels 1, 2, 3 or 4. Depending on the requirements, we recommend sending with security level 2 (secure link + login) or 3 (end-to-end encrypted).

Sending your digital payroll statements with FTAPI SecuFlows Advanced is easy and can be done in just a few steps:

1. Import: Your accounting system automatically transfers the collective files to FTAPI, where they are split into individual documents.

2. Assign: The statements are assigned to the respective employees based on stored data (e.g. personnel number and email address).

3. Notify: Employees are informed by encrypted email that their statement is ready or receive it as an ePost letter.

4. Retrieval and queries: Statements can be accessed securely via the portal. Inquiries are handled directly via the encrypted channel.
